# Build your Knowledge Base

> Your Knowledge Base is everything Cura knows about your business.

Your Knowledge Base is everything Cura knows about your business. The better you fill it, the more accurate and helpful your AI's answers become. This guide shows you how to add and manage it.

By the end, you'll have uploaded the documents that ground your AI's responses — so it answers from *your* policies, treatments, and details instead of guessing.

## Before you begin

* You'll need **Admin** or **Manager** access to the workspace you're training.
* Gather the source material you want the AI to learn from — service menus, price lists, policy documents, treatment descriptions, aftercare instructions, and anything you'd hand a new staff member.
* Supported file types: **PDF**, **Word (.docx)**, **plain text (.txt)**, and **Markdown (.md)**.

  Cura grounds every AI answer in three kinds of knowledge — your **Knowledge Base** (documents, covered here), your **FAQs** (specific question-and-answer pairs), and your **Services** (treatments and prices). Together they give the AI a complete picture of your business.

  <Step title="Open the Knowledge Base">
    * Open the **workspace** you want to train and go to its **Knowledge Base**.
    * Knowledge is per workspace, so a multi-location business trains each one separately. Files you upload here are available throughout that workspace.

  <Step title="Upload your documents">
    * **Click Upload** and select one or more files (PDF, Word, text, or Markdown).
    * **Wait for processing.** Cura reads each file, breaks it into searchable pieces, and indexes it so the AI can find the right passage at the right moment. You'll see the status update when a file is ready.
    * **Upload focused documents.** One clear document per topic (e.g. "Cancellation policy", "PRP treatment guide") works better than a single giant file.

  <Step title="Add FAQs and Services for precision">
    Documents are great for background. For the questions customers ask most, add structured knowledge:

    * **FAQs:** capture a question and the exact answer you want customers to receive. Ideal for hours, parking, deposit policy, "do you offer X?", and similar.
    * **Services:** add each treatment with its description and price (and a promo price if relevant), so the AI quotes accurately and books the right service.

      If the AI ever answers a common question imperfectly, the fastest fix is to add an FAQ with the wording you prefer. FAQs and Services take priority because they're exact.

  <Step title="Keep it current">
    Your Knowledge Base is living, not one-and-done.

    * **Update prices and policies** in Services and FAQs whenever they change.
    * **Replace outdated documents** rather than leaving stale ones in place — old info can produce confident-but-wrong answers.
    * **Add new material** as you notice gaps in the AI's answers.

## How to know it's working

* Send a test message asking a question only your documents could answer (e.g. "What's your cancellation policy?") to a connected channel, and confirm the AI answers from your content.
* If an answer is wrong or vague, find the gap: is the fact missing, out of date, or buried in a too-large document? Fix the source and test again.

## Troubleshooting

* **A file won't upload.** Check it's a supported type (PDF, .docx, .txt, .md) and isn't password-protected or a scanned image with no real text.
* **The AI ignores a document.** Confirm the file finished processing (it shows as ready) and that you uploaded it to the same workspace the conversation belongs to.
