# Inviting team members

By the end of this guide, you'll have invited a colleague to your Cura account, given them access to the right workspace, and set the role that decides what they can do.

Cura works best when your whole front desk is in it together — answering customers, watching the AI, and stepping in when needed. Adding people takes two parts: inviting them to the **organization**, then giving them access to a **workspace**.

## Before you begin

* You need to be an **admin** on the account to invite people and set roles.
* Have each person's email address ready.
* Decide which workspace(s) each person should work in, and whether they're a **manager** or **staff** in each.

<Note>
  Adding a teammate is two distinct steps:

  1. **Invite to the organization** — the person joins your account as an **admin** or a **member**, via the organization menu.
  2. **Add to a workspace** — separately, give them access to a specific location as a **manager** or **staff**.
</Note>

<Steps>
  <Step title="Invite someone to your organization">
    Invites are handled in the **Manage organization** window. Cura opens this from the **organization switcher** in your profile menu.

    * **Open your profile menu** in the top navigation and select the **organization switcher**.
    * **Choose Manage organization**, then go to **Members → Invite**.
    * **Enter their email address.**
    * **Choose their organization role:** **Admin** (full control of the account and every workspace) or **Member** (access only to the workspaces you grant). See [Roles and permissions](/team/roles-and-permissions).
    * **Send the invitation.** They'll get an email to set up their sign-in.

    <Check>You've invited them to the organization. Once they accept, they appear in your members list.</Check>

    <Note>
      The **Manage organization** window is a hosted screen that handles sign-in and membership for your account. Pending invitations and existing members are also managed here, not on a separate Cura settings page.
    </Note>
  </Step>

  <Step title="Add them to a workspace">
    Members start with no workspace access until you grant it. (Admins are the exception — they can reach every workspace automatically and never need to be added.)

    * **Open the workspace** you want them to work in from **Manage workspaces**.
    * **Add the person as a member** of that workspace. New members default to the **Staff** role.
    * **Set their workspace role:** **Staff**, or **Manager** if they'll oversee the location. Only admins can grant the **Manager** role.
    * **Repeat** for any other workspaces they should reach.

    <Check>They can now work in that workspace — see its Inbox, reply to customers, and use the tools their role allows.</Check>
  </Step>

  <Step title="Adjust roles or remove access later">
    Roles aren't permanent. As responsibilities change, you can update them.

    * **Change a workspace role** to promote staff to manager, or the reverse. Only admins can promote someone to **Manager**.
    * **Remove someone from a workspace** to revoke access to that location while keeping them on the account.
    * **Change someone's organization role** (Admin ↔ Member) back in **Manage organization → Members**.

    <Tip>
      Give new hires the **Staff** role in a single workspace to start. It's the most focused level of access — you can always widen it once they've found their feet.
    </Tip>
  </Step>
</Steps>

## Troubleshooting

* **The invitation didn't arrive.** Ask them to check spam, and confirm the email address was spelled correctly. You can resend it from **Manage organization → Members**.
* **They can sign in but see no conversations.** They've joined the organization but haven't been added to a workspace yet — complete Step 2.
* **I can't invite anyone.** Only **admins** can invite and assign roles. Ask an admin on your account.
