Before you begin
- You need to be an admin on the account to invite people and set roles.
- Have each person’s email address ready.
- Decide which workspace(s) each person should work in, and whether they’re a manager or staff in each.
Adding a teammate is two distinct steps:
- Invite to the organization — the person joins your account as an admin or a member, via the organization menu.
- Add to a workspace — separately, give them access to a specific location as a manager or staff.
1
Invite someone to your organization
Invites are handled in the Manage organization window. Cura opens this from the organization switcher in your profile menu.
- Open your profile menu in the top navigation and select the organization switcher.
- Choose Manage organization, then go to Members → Invite.
- Enter their email address.
- Choose their organization role: Admin (full control of the account and every workspace) or Member (access only to the workspaces you grant). See Roles and permissions.
- Send the invitation. They’ll get an email to set up their sign-in.
You’ve invited them to the organization. Once they accept, they appear in your members list.
The Manage organization window is a hosted screen that handles sign-in and membership for your account. Pending invitations and existing members are also managed here, not on a separate Cura settings page.
2
Add them to a workspace
Members start with no workspace access until you grant it. (Admins are the exception — they can reach every workspace automatically and never need to be added.)
- Open the workspace you want them to work in from Manage workspaces.
- Add the person as a member of that workspace. New members default to the Staff role.
- Set their workspace role: Staff, or Manager if they’ll oversee the location. Only admins can grant the Manager role.
- Repeat for any other workspaces they should reach.
They can now work in that workspace — see its Inbox, reply to customers, and use the tools their role allows.
3
Adjust roles or remove access later
Roles aren’t permanent. As responsibilities change, you can update them.
- Change a workspace role to promote staff to manager, or the reverse. Only admins can promote someone to Manager.
- Remove someone from a workspace to revoke access to that location while keeping them on the account.
- Change someone’s organization role (Admin ↔ Member) back in Manage organization → Members.
Troubleshooting
- The invitation didn’t arrive. Ask them to check spam, and confirm the email address was spelled correctly. You can resend it from Manage organization → Members.
- They can sign in but see no conversations. They’ve joined the organization but haven’t been added to a workspace yet — complete Step 2.
- I can’t invite anyone. Only admins can invite and assign roles. Ask an admin on your account.
